Fleet and mobility management specialists, KINTO UK Limited, appointed Vail Williams to project manage the firm’s relocation into new office premises at Lakeside North Harbour, Portsmouth, which would see the firm create a new ‘centre of excellence’ in the UK.
Our office agency team initially acted for the Lakeside landlord, Portsmouth City Council, to secure the 10-year lease with KINTO.
KINTO subsequently appointed Vail Williams to project manage their office fitout works, which we saw through to occupation, on a tight nine-week delivery programme and budget.
In 2020 KINTO UK awarded Vail Williams the contract to relocate our UK head off to Lakeside North Harbour. Sitting here in the new office as I write this, I am incredibly pleased with the finished product, as well as the journey we took with Chris at Vail Williams to get us here today.

How we helped
- Negotiated a Licence to Alter with the landlords, to ensure KINTO had consent to make the alterations to their leasehold office premises.
- Prepared detailed budget cost plan to ensure the project was managed within financial expectations
- Provided space planning expertise to calculate the space required to accommodate the firm’s 220 staff.
- Led workshops on value engineering throughout the project.
- Prepared tender for fitout works, along with associated contract documentation.
- Project managed the fitout works with ongoing project monitoring and cost control, as well as contract administration.
- Liaised with the landlords and associated legal teams in relation to statutory undertakings.
- Provided ancillary business rates advice, delivering business rates savings to the client
As with any project, there were of course some hiccups and challenges to overcome along the way, but Vail Williams provided sound advice to support us with our decision making. It felt as though Chris was an extension of our own team, rather than a contractor.

Results
- Successfully managed relationship between contractor and on-site facilities management team to ensure delivery of fitout work within nine-week delivery programme.
- Delivered fitout programme on time and on budget, in line with client’s expectations.
- Saved the client approximately £70,000 on business rates throughout the period of fitout works.
- Throughout July and August of 2021, 220 staff returned to Lakeside in a staggered return to work pattern.
- From September 2021, KINTO achieved an almost 100% return of staff to their new offices, following the fit-out project.
